Candidate Privacy Notice

This notice explains what information Vouchward collects, why, who sees it, and the control you keep over it. Vouchward is operated by Elio Gerges, a sole proprietor doing business as Vouchward, based in Los Angeles County, California ("Vouchward", "we", "us").
We wrote this to be read. If anything is unclear, email [CONTACT EMAIL] and a person will answer.
1. Who this covers
This notice covers people who visit vouchward.ai, submit our candidate form, speak with us, or have a candidate record with us. We only work with candidates who are at least 18 years old and located in the United States or Canada. We do not knowingly collect information from anyone under 18, and if we learn we have, we delete it.
2. What we collect
Information you give us. Your name, email address, LinkedIn profile address, current country, your resume if you choose to attach one, and your answers about the kind of work and location you want.
Information we create. Notes from our screening conversation with you, our written reasons for referring or not referring you, and a timeline of actions taken on your record, each entry stamped with a date.
Technical information. Standard server logs kept by our hosting provider, which can include your device's network address and browser type. We keep this minimal. See the Cookie and Analytics Notice for details.
3. What we never collect
We do not ask for and do not want:
- Salary history. California Labor Code section 432.3 prohibits seeking it, and we ask about your target pay for the next role instead.
- Protected characteristics. Race, ethnicity, national origin, age, date of birth, gender, sexual orientation, religion, disability, medical information, marital or family status, pregnancy, immigration status, veteran status, criminal history, or credit history.
- Government identification numbers of any kind.
If you type any of these into a free text field, we delete that content from your record when we notice it.
4. Why we collect it
We use your information to evaluate whether we can honestly refer you to open roles, to hold the screening conversation with you, to submit referrals you approve, to keep the record of your consent, and to contact you about roles if you agreed to ongoing contact. That is the complete list. We do not use your information for advertising, and we never sell it.
5. Consent is the basis, and it is versioned
Everything rests on consent you give through the form. Each consent checkbox has a version number, and we store which version you agreed to and when. Ongoing contact consent runs on a 24 month clock. Near the end of that clock we ask you once to renew. If you do not, we stop contacting you and your record is scheduled for deletion under the Data Deletion and Withdrawal Procedure.
6. Who your information is shared with
The full recipient list, what each recipient gets, and why, is published in the Data Sharing and Third Party Disclosure Statement at /legal/data-sharing-statement. The short version:
- Paraform, Inc., a recruiting marketplace, receives your basic details and resume only when we submit a referral, and only after you have separately consented to that referral. Paraform then emails you directly, and you have 72 hours to confirm before anything reaches a hiring company.
- Service providers that run our infrastructure: [HOSTING PROVIDER], [DATABASE PROVIDER], [EMAIL PROVIDER], and [SCHEDULING TOOL]. They process data on our instructions to operate this service and for no purpose of their own.
We do not sell personal information, we do not share it for advertising, and no one else gets it unless the law compels us, in which case we notify you unless legally barred from doing so.
7. How long we keep it
Active candidate records are kept while your consent is current. The consent clock is 24 months, renewable. When you delete your record, or when consent lapses without renewal, we erase the record under the Data Deletion and Withdrawal Procedure. One thing survives deletion: a one way cryptographic marker derived from your email address, which cannot be reversed into your address and exists only so that we never contact you again by mistake.
8. Your rights and how to use them
At any time you can view your record, correct it, download it, withdraw any consent, or delete the record entirely. The self service route is the Manage my record page at vouchward.ai/me, which verifies you by a one time code sent to your email. The manual route is emailing [CONTACT EMAIL]. Either way we acknowledge within 72 hours and complete the request within 14 days. These rights are yours regardless of where you live. Candidates in Canada are served under the same consent based model, consistent with Canadian federal privacy law.
Vouchward is a small sole proprietorship well below the thresholds that make the California Consumer Privacy Act apply to a business. We honour access, correction, and deletion rights anyway, as a matter of policy.
9. Security
Your record lives in access controlled systems, protected by multi factor authentication on every account with access, with every action on your record written to an append only timeline. Access to candidate records is limited to the people operating Vouchward. Full detail is in the Internal Data Handling Policy. If a breach of security exposes your personal information, we will notify you as required by California Civil Code section 1798.82, promptly and without unreasonable delay.
10. Do Not Track
Our site does not track you across other websites, and we do not allow third parties to collect your activity on our site over time for their own purposes. Because there is no cross site tracking to switch off, our site does not change its behaviour in response to browser Do Not Track signals.
11. Changes to this notice
If we change this notice, the version number and effective date at the top change, and if the change affects how your existing information is used, we email you before it takes effect. We never apply a material change retroactively to information collected under an earlier version without asking you.
