Data Deletion and Withdrawal Procedure

This procedure explains how to withdraw consent or delete your record, exactly what happens when you do, and how fast. It binds Vouchward; it is not a courtesy page.
1. Two different actions
Withdrawing a consent switches off one permission while your record stays. Example: withdrawing ongoing contact consent means we stop contacting you about roles, but your record remains until it lapses or you delete it.
Deleting your record erases the record itself: your details, resume, screening notes, and timeline.
2. How to do either
Self service: go to vouchward.ai/me, enter your email address, and enter the one time code we send to it. From there you can view, correct, download, withdraw consents, or delete.
By email: write to [CONTACT EMAIL] from the email address on your record. If you write from a different address, we will verify you before acting, because deleting the right person's data requires knowing who is asking.
3. Timing we commit to
- Acknowledgement of your request: within 72 hours.
- Completion: within 14 days. In practice, usually within 2 business days.
- Deletion through the self service page executes after a 24 hour pending window. We email you when the deletion is scheduled and again when it completes. The window exists so that if someone else ever gained access to your email and requested deletion, you can cancel it. Any change made through the self service page triggers a notification email to you.
4. What deletion actually removes
Your name, contact details, LinkedIn address, resume, preferences, screening notes and rationale about you, and your activity timeline.
5. What survives, and why
- A one way suppression marker. A cryptographic hash derived from your email address. It cannot be reversed into your address. Its only function is to block us from ever adding you again, including by accident through future sourcing. This is deletion working as intended, not an exception to it.
- The bare consent ledger entry. A minimal record that consent existed, its version, its dates, and that deletion was requested and honoured on a given date. We keep this because proving we honoured your deletion requires a record that it happened.
- Anything we are legally required to retain, such as tax records if money ever changed hands in connection with your placement. These are kept only as long as the legal requirement runs.
6. Referrals already in flight
If you delete your record after a referral was submitted, we withdraw anything still pending on our side and notify Paraform of your withdrawal. Information already accepted by you on Paraform and transmitted to a hiring company is governed by their policies; we will tell you exactly what was sent and when, so you can exercise rights with them too.
7. Automatic deletion
Ongoing contact consent runs on a 24 month clock. Before it expires we ask you once to renew. If you do not renew, contact stops immediately and your record is deleted under this procedure without you having to ask.
8. No penalty, no friction
Deleting your record costs nothing, does not require a reason, and does not affect anything except that we can no longer refer you. You can come back later by filling in the form again, which creates a fresh record under the then current consent version.
